Book Meetings
There are a variety of ways to book meetings with Chili Piper. Let's review the top 3 ways to book and best practices.
Book for Yourself with "My Booking Link"
Your booking link is connected to a default meeting type. Your booking link can be copied from the instant booker Chrome extension. Use this in emails and link in your email signature for people to instantly book with you to eliminate the back and forth of traditional scheduling.
Test It:
- Copy your booking link and put it into your browser
- Select a time
- Fill out the form with your personal email
- Take a look at the confirmation emails sent to both of your emails (guest and assignee) will see the meeting on your calendars
If you want to change the meeting type associated with your booking link, go to the Chili Piper app home page > "Your Personal Booking Link" Edit > Change > Select from the list. If you don't see a meeting type that fits your needs, request it from your Admin or create your own.
Book for Yourself or Teammates with "Instant Booker"
Instant Booker is especially great to use if you're on a cold call and want to schedule a qualified call with someone on your team or if you're on a meeting and want to schedule a follow-up. Just put their email address in and click Book!
We'll learn more about it below:
This screen has a lot of functionality, but you'll be cruising through it in no time.
Test It:
- Open Instant Booker from the Chrome extension
- Enter your personal email and click Book
- Click Continue to Calendar
- Select a time on your calendar
- Click Book Meeting

Book more meetings with Suggested Times
No more back-and-forth e-mails with prospects to find the best time for a meeting! Send suggested times and allow them to book the best time for them with just a few clicks. We'll learn more about it below:
Look for the icon in your Gmail compose window (pssst - check more tools if you don't see it).
A window will open where you can change the guest's timezone to make it easy to find mutual availability that suits their needs. The workspace is assigned to you by your Admin and most likely doesn't need to be changed unless you're scheduling a meeting outside of your normal flow of work/team.
You can also check if this guest is in your CRM by looking at the cloud next to the guest's email. If there is an X, click it and quickly add them to your CRM.
Note: This intermediate screen will not be shown if you're assigned to only one workspace and the prospect is already included in your CRM so that we can speed up the booking process. The timezone can still be updated on Instant Booker's calendar screen.
Click Continue to Calendar and follow the same process as above, but instead of selecting a one-time slot, select a few to insert into the email. Guests can select from the suggested times (and they usually do - 3x as much) or view your entire calendar for more availability.
If you're using Outlook 365 (download the Chili Piper Add-In) to gain this epic functionality, then click the icon to insert suggested times.
Manage Your Meetings
Reschedule
You can reschedule a meeting as usual by moving it to your calendar.
Guests can reschedule a meeting if the {!Meeting.RescheduleURL} tag is in the meeting invitation of the meeting type. You will receive an email notification when this change is made, which will also be reflected in your calendar and CRM.
You can check if this tag was included by looking at the calendar event description. If it's not there, request this from your Admin if it is a team meeting or add it yourself if you created this meeting type.
Reassign
There are a couple of places you can use the reassign functionality. We created a very special article for this functionality - Click here to learn more.
Mark No-Shows
Manage your prospect's attendance easily, reporting back the status to Chili Piper and your CRM for reporting.
