Decrease no-shows and increase meeting completion rates with Reminders. Reminder emails / SMS are sent to the Prospect and the meeting Assignee/Booker.
Introduction to Reminders
Admins can access Reminders within each workspace on the left navigation bar within the "assets" section.
Individual users will also find Reminders in their own personal workspace as well.
Reminders Walk-Through
If you're new to the concept of reminders (sending an email/text to your guests at a designated time before the meeting), you'll have the option to create them for your team here:
You can start from scratch or choose from a pre-existing template (which you can modify in the builder):
Name your Reminder. This label will be for your reference only:
Within the builder, you can choose the meeting types that trigger your message:
Reminders Channels
You can send your Reminder via one of two channels:
Reminder emails will come from reminder@chilipiper.com, which cannot be adjusted. The assignee will be made the "reply-to" address on the email in case the customer responds.
When selecting to send to either "All guests" or "Main guest only," the Assignee and Booker will still be CC'd on the resulting reminder email.
SMS
You'll need a Twilio connection before sending an SMS Reminder.
You can enable local presence (local area numbers) when these texts are sent out (available for specific countries only).
Message
Select the subject of the reminder and the message that will be sent. You can include a text and use dynamic tags to populate any required data for the meeting.
The message also supports HTML to customize your reminder even more. Learn more here about what can be customized and done with HTML.
Trigger Options
Choose the trigger for this Reminder:
Then, the time delay associated with it:
Note: We recommend adding the {!CP.MeetingLocation} tag to your reminders to ensure you're populating the correct video conference or location link! More info on that here.
This does not apply to Google Meet and Microsoft Teams (see below)
Google Meet and Microsoft Teams URLs
With Reminders, you can send either the Google Meet URL or Microsoft Teams Meeting URL to the prospect in the body of the email as well with a specific Dynamic Tag: {!CP.Meeting.GoogleMeetURL} or {!CP.Meeting.MicrosoftTeamsURL} respectively.
This particular dynamic tag will only work within Reminders and not Meeting Types. This is because both calendar systems generate meeting links after Chili Piper has created the calendar event.
You can see a preview of your Reminder in the right-hand slider:
Lastly, ensure your Reminder is On once you're ready to activate it!
Advanced Trigger Options
You can define a minimum timeframe for sending reminders. In other words, you may not want to send a reminder if a meeting was booked within the last day (as that might be unnecessary). Within the advanced section, select between weekly, daily, or hourly intervals that you would want to be the minimum timeframe required to send a reminder:
Sunset of Reminder Settings
We cleaned up the triggers. You'll now be able to choose from two of our most commonly-used settings:
- Before a meeting
- Before a meeting: Invite not accepted yet
Reminders will not include old settings such as:
- Send at a specific time
- Send only if the meeting starts at a specific time
- Send only if the meeting is held on [day]
- Send only if between the meeting start time and the meeting booked time more than...
- Do not send if a prospect the prospect has declined the meeting (this will be enabled by default)
