Note: Super Admin permissions are required to configure Chili Piper forms. Once the form is created within the respective workspace, you can create the meeting templates for your reps, or they can create Personal Meeting Templates which utilize the form you've created in your Workspace.
Example Use-Case:
Jenn L is a Customer Success Rep. She wants to send her client, Cool Customer, her personal booking link to schedule meetings with her as needed.
So that Jenn can be prepared for the meetings her client books with her, she includes a field to her Chili Piper form, "What do you want to talk about?"
Then Cool Customer picks a time and fills out the form with the details for the meeting:
Once Cool Customer confirms the meeting, the following happens:
1) An email notification by Chili Piper is sent to Jenn L, including the Meeting Title, Time/Date of the meeting, the Meeting Details that Cool Customer outlined in the form, and a link to Cool Customer's Salesforce record.
2. A calendar invite is sent from Jenn L to Cool Customer. The description of the calendar invite will contain the meeting details and any other fields you have specified in the meeting template.
3) The "Meeting Details" is written to the field on the Lead or Contact that you specify within the Form.
How to add these to your Meeting Templates:
Add a form with the respective values you wish to gather
- Navigate to forms
- Either create a new form or click into an existing form you'd like to edit
- Add a new form field related to the respective fields on the Lead and Contact object that you'd like this data to write to.
- Pro-Tip: You can add a new field on both Lead and Contact object called "Next Meeting Details" if you don't find a field that you'd like to write to.
Relate your Meeting Template to your Form
- Navigate to "Meeting Types - Templates" and click on the Meeting Template you'd like to adjust.
- Locate the "Form" associated with your Meeting Template. Advanced Settings -> Form
- Set your "Form" to the Form you have just created/edited in the previous step
- Any non-Standard form fields you have added to your related form will appear dynamically on the right under the "Form Fields" section.
Add Dynamic Variable to your Meeting Template
- Copy the new value that shows up to your clipboard by clicking on the dynamic tag.
- Paste into your your Meeting Template in the place where you'd like those values to populate
Note that all the Standard Dynamic Tags, like {!Prospect.FirstName} & {!Prospect.Company} are available under the "Guest fields" on the right panel.
That's it! Once you have the Form created, your users can reuse this form when they create a personal meeting template, assuming they are a part of the workspace in which you have created the form.
Notes:
- Values applied through the form can apply to Meeting Reminders if used on an associated Meeting Template.
- When booking via Instant Booker or Suggested Times, since there is no form, in this case, the value will appear null by default. In these cases, if you'd like the details added for the meeting when booking via this Meeting Template, your users will want to type in those details.
- If you use smart booking links, namely the id parameter, the form is bypassed to enable 1-click booking. Thus, this value will not be populated. If you need these details always populated, you'll want to be sure not to use the id parameter when sending out the booking link.
