You can configure your meeting types to show multiple meeting locations and give your guests the choice of choosing the option that works best for them. In some cases, you may want to reuse the same meeting type but switch up the meeting location method. This allows you to display multiple using the same meeting type.
Setup
From the Meeting Types' Calendar Invite tab, select a meeting location from the dropdown menu to see the option to Add [another] location to choose from:
You can select additional options, but we recommend a maximum of 2-3, depending on your use case. It's best to limit unnecessary decision-making during the booking flow, as this might deter your guest from scheduling.
Once you have multiple options, a star will appear to indicate which method should be used as the default when booking through Instant Booker:
In the Meeting Type
You will see a new dynamic tag in the body:
This tag will populate with the meeting details chosen by the guest. If you only select one location, this will still be the default tag until the meeting is booked and the location details are populated on the confirmation screen.
If you remove this tag from the body of your invite, then location details will be shown in the location field of the calendar invite-only. For Zoom Details, Webex details or RingCentral Video Details, for example, this tag should remain as-is to ensure the conference lines are shared in the invite.
In the meeting type preview, you will see:
In Instant Booker
In Instant Booker, this will appear along the right-hand side as the location:
Clicking this gives you the option to change this on the fly by showing you the other options you provided in the Meeting Type:
Note: If using Google Meet or Microsoft Teams, the meeting location details are not shown in the meeting confirmation preview; they are added to the calendar invite directly by Google/Microsoft.
On the marketing form
By default, if more than one location is selected, the guest will see the option to choose on the form screen:
The location starred in meeting type settings is also the location chosen by default in the meeting location via radio buttons. If a guest is able to reschedule after the meeting has started, we will show the meeting location options again so they can be updated. Otherwise, if they are rescheduling before the meeting start time, they will remain unchanged.
Lastly, to remind your guests of where to meet at the time of the meeting, use {!CP.MeetingLocation} again in your Reminders. This will show the same details as those used in the calendar invite.
