Who can use this feature?
Fairness and Weighting are functionalities that should help Admins better handle object distribution across Teams and their respective reps.
Table of Contents
How is Fairness Calculated?
The record distribution is even among routes, and initially, the first user in the Team will get the first record, and so on.
Example:
- You have one Team with two users: User A and User B;
- You have one Distro Router with two routes associated with the same Team. The Fairness will be the same for these two different Paths/Routes;
- Imagine that this Distro Route distributed four Leads through different Paths/Routers:
- Lead 1 -> Rule 1 and Route 1 -> User A
- Lead 2 -> Rule 2 and Route 1 -> User B
- Lead 3 -> Rule 1 and Route 2 -> User A
- Lead 4 -> Rule 2 and Route 2 -> User B
You will notice above that the next distribution moves to User B if the Route already covered the first user in the Team (User A), even though the Path/Route is different.
How Does the Weighting Work?
To allocate a greater distribution of meetings to specific reps, make their weight percentage more than the other users in the Team. Uneven weights are likely why some reps may receive more or fewer prospects than others.
For example:
- Mary, Joe, and Stacy are members of a Team and have the following weights for the current month: 200%, 100%, and 100%;
- Suppose 60 prospects were distributed across them during the same month.;
- The distribution would be 30 for Mary, 15 for Joe, and 15 for Stacy. Mary got 2x more prospects distributed to her due to the 200% weighting.
It can also work oppositely if you would like reps to receive fewer meetings than others. In this case, keeping the weight lower than 100% will meet this purpose.
For example:
- Mary, Joe, and Stacy have the following weights: 50%, 100%, and 100% for the month;
- 30 prospects were distributed;
- The distribution would be six for Mary, 12 for Joe, and 12 for Stacy;
- Mary got half of the prospects distributed due to the 50% weighting.
In both scenarios and examples shared above, we have not considered that any users were on vacation, as a vacation/OOO period will impact the distribution. More details about how Distro handles vacations can be found here.
How To Update Weights & Calibration?
Distro CRM Flow Builder:
After opening the action node, you'll notice a "Fairness" button right below your Algorithm, if you're using the Strict Round-Robin one:
Click on the Fairness button that was mentioned above, and your Team will be displayed. In this same screen, you'll be able to adjust the Team's Weight and Calibration (Credit/Skip):
The Calibration (Credit / Skip) should be useful to credit a record to a user using a negative number (Ex: -1) or to skip a user in a distribution using a positive number (Ex: +1)
Don't forget to Publish Changes after finishing your updates!
Distro CRM Router
After opening the desired router and clicking on each Route, the "Fairness" button should be visible in the Distribution Algorithm section. Fairness and weighting will only be available for rules using the Round-Robin algorithm.
- The Rules' algorithm was updated. For example: Round-Robin -> Ownership -> Back to Round-Robin.
- The distribution cycle was updated in the middle of the current cycle.
