Duplicate Events in Hubspot
We will start covering the most common reasons why users see duplicate Events in Hubspot after a meeting is booked.
Hubspot's Calendar Sync is enabled in Hubspot
Why does it happen?
Hubspot's Calendar Sync identifies new calendar events in your Google or Outlook (Office 365) instance and creates a new Event in Hubspot afterward.
That said, once a new meeting is booked via Chili Piper, we will create a new calendar event and a new Event (Engagement). Once the calendar event is identified by Hubspot's Calendar Sync, it will proceed to create a new Event from that, generating the duplicate.
By default, Chili Piper does not create duplicate Hubspot Events in any instance.
How can we confirm this and tell which event was created by Chili Piper vs Hubspot Calendar Sync?
We recommend two ways to confirm whether or not the duplicated Event came from Chili Piper.
-
Check Chili Piper's Custom Properties: Events not created by Chili Piper will not have Chili Piper-related Custom Properties filled out, such as Meeting Type and Outcome. If one of your Events has these properties filled out and the other doesn't, we can likely confirm that Chili Piper did not create one of them - the one with no custom fields filled out.

- Check the Event's Source: In the Event history, for the Event created by Chili Piper, you should find your integration user, while in the one created by the Calendar Sync, a different source.
Options to Consider
- Disable the Calendar Sync: You can follow the steps below to confirm if you have this option enabled in your CRM and disable it if you want:
- Open HubSpot and click the User's name in the top right:
- Check Profile & Preferences at the top:
- Click Calendar:
- Check if the calendar is synced:
- If you want to disconnect and consequently stop the Calendar Sync, you can unmark the Calendar Sync checkbox under the Account Settings:
You can also fully disconnect your calendar if you don't need this integration within Hubspot:
The calendar sync is enabled per user, so you may need to guide other users to check and disable it if they are also experiencing duplicated Events due to this.
-
Disable Chili Piper's Event Creation: If you disable the Event creation from Chili Piper's side, you will basically rely on the Calendar Sync to export the new meetings/events as Events for you once they are in your calendar, and there will be no duplicates.
Chili Piper's Hubspot Custom Properties and Ownership updates will not happen!
We do not recommend switching the Event creation off. If you are using Chili Piper's Custom Hubspot Properties for any purpose or relying on Chili Piper to update the object's ownership after a meeting is booked, they will stop working, as they are directly related to the Event creation from Chili Piper.
- Keep Both: Although we understand this might not be ideal for your organization, keeping both Events is also an option. You can create filters and reports based on Chili Piper's Custom Properties in HubSpot if you want to separate the events booked via Chili Piper from the duplicates created by the external source.
