Who can use this feature?
CRM Actions feature in ChiliCal is your one-stop shop for customizing the Chili Piper <-> Salesforce flow. From Lead or Event creation to setting which object association should happen, set this once, then forget it: we will do the rest.
Let's check this feature in more detail below.
Table of Contents
How to access the CRM Actions?
In the left-hand menu, expand the ChiliCal section, and then click "CRM Actions":
Salesforce CRM Actions
Events
In this section, you can configure what happens with the meetings booked in ChiliCal.
You can enable the "Apply same settings to all Scheduling Links" setting to use the same settings across the board, or you can disable it and set what happens in each of your Scheduling Links.
You can specify if it should Create an Event or not, what the Related Object will be (Account, Opportunity, Case, or Campaign), and if you want to Delete the Event upon meeting cancelation.
💡 For Cases, we will relate with the most recently created Open one, and for Opportunities, we will relate with the one that has the nearest Close Date associated with the Account related to the Main Guest.
A meeting is considered canceled if it was canceled through a public cancel URL or if it was deleted/canceled in your calendar provider.
Leads & Contacts
On the top of the screen, we can see if the Match Lead to Account is enabled or not:
Clicking the "Open CRM Matching" button will redirect you to the workspace's Lead-to-Account Matching settings. More details about this feature can be found here.
Lead and Contact creation
Here, you can set if a Lead/Contact will be created when a prospect matches or does not match an Account based in your workspace's Lead-to-Account Matching settings, and we can also enable/disable the Update Owner function, which updates the record's ownership with the meeting's assignee.
You can enable the "Apply same settings to all Scheduling Links" option to apply the same setting across all Links or disable it if you want to set them individually.
Click the "Show Scheduling Links" to check each Link's settings, and update them if you are not applying the same settings for all Scheduling Links.
Campaigns
Here, we can manage by each Scheduling Link if it will be added to a Campaign or not, which Campaign, and also the Status within Campaign:

Engagements
In this section, you can configure what happens with the meetings booked in ChiliCal.
You can enable the "Apply same settings to all Scheduling Links" setting to use the same settings across the board, or you can disable it and set what happens in each of your Scheduling Links.
Within each column, you can define the behavior for your booked meetings:
-
Create Engagement: Here, you can specify if it should Create an Engagement or not.
-
Related Object: If we are set to create Engagements, you can define what will be the Related Object (Company, Ticket, or Deal)
-
Activity Assigned to: It passes the email of the Booker or the Host to the “Activity Assigned to” field inside the Engagement created in Hubspot for the booked meeting. This changes who hosts the Engagement inside the Activity tab and can be useful for reporting purposes.
The default option for this setting is the Host, and it will behave as follows:
- If Booker is selected and there is a Booker = Booker
- If Booker is selected and there is no Booker = Host
- If Host selected = Host
- Delete Engagement Upon meeting cancellation: This setting defines if the HubSpot Engagement (if any) should be deleted once a meeting is canceled. A meeting is considered canceled if it was canceled through a public cancel URL or if it was deleted/canceled in your calendar provider.
Contacts
Here, you can set if a Contact will be created when a prospect matches or does not match a Company. You can also enable/disable the Update Owner function, which updates the record's ownership with the meeting's assignee.
You can enable the "Apply same settings to all Scheduling Links" option to apply the same setting across all Links or disable it if you want to set them individually.
Click the "Show Scheduling Links" to check each Link's settings, and update them if you are not applying the same settings for all Scheduling Links.
