How to access the User Controls?
In the left-hand menu, expand the ChiliCal section, and then click "User Controls":
Link Management
Once you access this setting, the first tab you will find is the Links one, where you can define which behavior and permissions end-users will have for their respective Scheduling Links. Let's cover each piece of information in more detail:
-
User List: A list of users with ChiliCal licenses. You can use the search bar at the top to facilitate your search.
-
Team: The Team(s) associated with each user will be displayed in this column.
-
Can create personal Scheduling Links: If you disable this option, users can no longer create personal scheduling links, and their current ones will be made inactive. If enabled, users can create personal scheduling links, and their links will be active.
-
Default Scheduling Link: When users can't create personal Scheduling Links (item above), this option will be available so Admins or Workspace Managers can assign a Meeting Type associated with the user's default link. When assigned a default scheduling link, users cannot change it until this is reversed.
If users can create personal Scheduling Links, this option will be set as "Keep user default settings" and will not be enabled for updates.
Booker Permissions
Before covering each set in more detail, we recommend being extra careful while enabling the options below. If enabled, users can receive meetings outside their working hours or during busy slots.
-
User Availability: When enabled, it allows Bookers to schedule meetings outside of others' working hours. You can also use suggested times to suggest times outside a colleague's working hours.
While booking, if this setting is enabled, you will receive one confirmation screen like the one below before finishing the booking:
-
Busy Slots: When enabled, it allows Bookers to schedule meetings over the busy slots of others. It does not allow the use of suggested times to book over busy slots.
While booking, if this setting is enabled, you will receive one confirmation screen like the one below before finishing the booking:
Salesforce CRM Permissions
Within this tab, you can define if users can sync their personal Scheduling Links to your Salesforce instance.
If enabled, you can define which behavior their links should follow. Users can also use Data Fields in their Meeting Types' Guest Forms and sync the prospect's submission data to your CRM.
Note that enabling this setting does not necessarily mean that users will sync their data to their CRM; they can toggle the button below off in their personal Scheduling Links.
Create Events
You can allow users to create Events from their personal Scheduling Links and which settings they should follow.
Within the Create Event Node, you can define the following settings:
-
Related Object: Select the CRM Object that should associated with the recently created Event. You can choose between Account, Case, and Opportunity.
-
Delete meeting upon cancelation: If enabled, the CRM Event will be deleted if the meeting gets canceled via Google Calendar or Dashboard.
If you do not want to allow them to create Events, use the Delete Node button at the bottom to remove it.
Create or Update Record
This setting enables Meeting Types to either create or update an existing Record in your CRM. Over there, you can define what Chili Piper should do if the Prospect matches an Account or doesn’t match anything:
-
Create Contact or Lead: If the Prospect matches an Account, create a Contact. If not, create a Lead.
-
Create Lead: If the Prospect matches an Account or doesn’t match anything, create a Lead.
- Do not create anything: No matter if the prospect matches an Account or doesn't match anything, no records will be created.
If you do not want this node to be active in your CRM permissions, use the Delete Node button at the bottom to remove it.
Update Ownership
Set Chili Piper to update the owner of a record in your CRM to the rep who got the meeting using this node.
If you do not want to allow Chili Piper to update any record's ownership for users, use the Delete Node button at the bottom to remove it.
Users with settings in other workspaces
You will notice a section called "Users with settings in other workspaces" in the Users Control pages.
This section informs users about the permissions they have in other workspaces, as each workspace's User Controls have individual settings.
Having this information, Admins and Workspace Managers can be aware of permissions provided in other workspaces, facilitating any troubleshooting or information they may need.
