Who can use this feature?
Within ChiliCal's MyApp Scheduler, users can easily create and manage tasks to streamline their daily routines. By organizing tasks and meetings in one place, you will enhance your focus, boost your efficiency, and keep your goals on track.
This article will teach us all related settings and how you can benefit from this feature!
Note the Task terminology used in this document is unrelated to Salesforce Tasks. All features listed here will not have any effect on your CRM at the moment.

How Can Users Create Tasks?
The first way to create a Task is by clicking on a slot in your Scheduler and then selecting Tasks in the right-hand menu that will be displayed.
Another method is by clicking the Show Tasks icon in the top-left (pointed out below) and then Create New Task.
Last but not least, you can also create it from ChiliCommand by finding it on its main menu or by using the ⌥ + 6 shortcut.
Adding your New Task Details
Once you follow one of the above methods to start creating your task, you will see a menu where you can add a handful of details to it.
Title
The title of your task and how it will be seen while navigating in your Scheduler or calendar.
Description
Over here, you can add more details to complement the title of your task, or anything you feel is helpful.
Date
The day and time of your task. If you created it by clicking a slot in the Scheduler, we will automatically fill it for you. If you created it via the Task list menu, you would need to edit it.
Duration
The amount of time the Task will take in your calendar. You can select it among the pre-defined times provided in-app.
Privacy Setting
Over here, you can select between three options:
- Default: It follows your calendar's default setup.
- Public: Task details are visible to anyone who has access to your calendar events.
- Private: The task will be shown with its title as "Busy," and other details will be hidden.
Default Availability Settings
Over here, you can select between three options as well:
- Free: The task will be created as a Free event, meaning meetings can be scheduled during this time.
- Flexible: Guests with a priority scheduling link can schedule over this time; for all others, it shows as Busy. Click here to learn more about Flexible Scheduling.
- Busy: The task will be created as a Free event, meaning meetings cannot scheduled during this time.
Links
Here, you can add relevant Links to your task, like any documents, sheets, or any link you may need to check to help with your task and many more examples!
If you create the task from ChiliCommand, we will identify any Link you currently have open in your browser session and pre-populate the link to save you some time. The example below shows how we start the task while I have chilipiper.com open in Chrome, and the link is pre-populated.
Task Menu (Show Task List)
By clicking the Show Task list button, besides having the ability to create Tasks from there, you will have access to all your Tasks and also to some useful settings that should make your routine even easier!
Focus Mode
When enabled, this closes all tabs in your browser and keeps only ChiliCal open.
Default Settings
You can set some settings as Default to save you any manual updates once you create a Task. This is useful when, for example, you want your Tasks to behave similarly.
There, you can set your Default Task Duration, Default Privacy Setting, and Default Availability Settings. The ones you set here will always be displayed when a new Task is created; for example, if you set here that your Privacy Settings will show Tasks as Busy, then all new Tasks will have Busy selected by Default.
Task Board
Right below, you can locate your tasks based on their timeframe by navigating through Tasks that will happen:
- Today: The best place to find the tasks you have for the current day. Expand Done to see the ones you already completed for the day.
- Upcoming: Lists tasks that will happen from tomorrow onwards.
- Unscheduled: Here, you will find tasks with no date completely filled out.
- All Tasks: Lists all tasks.
Starting and Finishing a Task
In the Task Menu (Show Task List), you can click the checkbox for the Task you want to mark as Completed. Besides completing the Task, this will also remove it from your calendar.
If you want to count the time you spend in the Task also the Task Menu (Show Task List), you can start a Task by hovering over the Task and clicking the Play button:
In the right-hand menu, when a Task is open, you will find the Start Task button to start tracking the time you are consuming with the Task.
Once you start a Task, you will see a timer at the bottom counting the time spent since you started it.
You can pause it or mark it as completed. If marked as Completed, we will let you know the time spent.
How to View and Edit a Current Task?
You can view and edit Task details by finding them in the Task Menu (Show Task List) and clicking on their title:
You can also click in the Task's slot in the Scheduler to do it:
After an update, look out for the Task Updated banner at the top to confirm your changes were applied:
How to Delete a Task?
In the Show Task List menu, hover the mouse over the task title, click the three dots, and then Delete Task
If you have the task open in the right-hand side menu by clicking on it from the Scheduler, you will find the Delete Task button at the bottom.
