Extension/Add-In required
The functionalities shown in this document require the ChiliCal extension and/or Add-In (for Outlook) to be downloaded and installed in your browser.
Before proceeding, we suggest downloading the extension here if you haven't yet done so, and checking here for more details about the Outlook Add-In installation.
Avoid back-and-forth e-mails to book a meeting! Suggested Times allows you to propose times directly within the email editor when sending an email to your prospect, saving time and ensuring the booking process is easy for you and your prospects.
We will discuss this functionality in more detail below.

Integrations
The Suggested Times functionality can be found and used in all integrations listed below; there's no need to move from tabs and places to use it! We have dedicated articles for each integration, so you can check in more detail how to get the benefit of this and other ChiliCal functionalities on each.
Best Practices
- Add a quick introduction text before inserting the slots to introduce what you are sending. For example, “Here are some availabilities on our end below. Feel free to book in one click or use the link at the bottom for more options”. This way, you make it easy for your prospect to book a time.
- We auto-detect the prospect's timezone if available in our data through Clearbit, but you can also define in which timezone the Suggested Times will be sent in the top-left:
Adjust your Branding
Before proceeding with the booking process, you may want to ensure that the slots that will be sent match your company's branding or look like you would like to, for example. Click here to check how.
How do I include Suggested Times?
While composing a new e-mail in one of the integrations mentioned in this article, ChiliCal's extension understands you are replying to or composing an email and allows you to propose times to a specific prospect.
To launch the suggested times, you must include the prospect's email address in the "To" field. This prospect will be included as the Main Guest in Chili Piper, and you can optionally include additional Guests in the "cc" field.
Select the "Insert Suggested Times" option, and if you are a Handoff user, you may be presented with ChiliCal's Handoff Scheduler or your calendar's Scheduler, depending on which option you used last, and you can also switch from Handoff to your calendar whenever needed. Otherwise, you will be presented only with your calendar's Scheduler.
Within the Scheduler, you can select the meeting host (yourself or a colleague), manage guests, enable Priority availability, select your Scheduling Link, and edit the meeting's title, duration, description, timezone, and so on.
After adjusting your settings, click the "Pick Several Slots" button and the slots will be included in your e-mail's body. That's it, ready to be sent!

Once the prospect receives the e-mail, they can select the slot and finish the booking process with one click.
If your prospect selects a slot that became busy after it was initially sent, we will redirect them to select a new one.

How do I remove slots before sending them?
To remove a slot before including them in the e-mail composer, just click on them and they will be removed from the current selection.
Can I send my link instead?
If you prefer sending your booking link instead of the suggested times and letting the prospect decide based on your calendar availability, no problem, this is possible as well.
To do that, you need to click on the "Insert scheduling link" button and your personal booking link will be populated in the e-mail.
