Who can use this feature?
The ChiliCal Co-Pilot extension places a booking icon inside Apollo, so you can open the ChiliCal Scheduler from a contact record or from an Apollo email without leaving Apollo. It is the same Scheduler you already use in Gong, Gmail, and Salesforce.

Extension Download
The functionalities shown in this document require the ChiliCal extension (Co-Pilot) to be downloaded and installed in your browser. Before proceeding, we suggest downloading it here if you have not yet.
The icon appears on app.apollo.io once the extension is installed and you are signed in to Chili Piper through it. Our ChiliCal's Co-Pilot Browser Extension article covers installation and sign-in. No setup is needed inside Apollo, and no Apollo administrator permissions are involved.
Schedule a Meeting from a Contact Record
Open a contact record in Apollo, from the People list or from a task. The ChiliCal icon sits next to the contact name, to the right of the LinkedIn icon. The icon is on the record page itself, not on the preview that opens beside the People list.
⚠️ Warning: The icon appears once the contact's email address is visible in the Contact information panel on the left. Apollo hides some email addresses until you spend credits to reveal them; reveal the email address first, and the icon appears.
Click the icon, and the ChiliCal Scheduler opens with that contact already included as the main guest.
From there you can select the meeting host (yourself or a colleague), add or change guests, and adjust your meeting details, such as the template, duration, description, and timezone.

Insert Suggested Times from an Email
We also recommend checking our dedicated article for the Suggested Times functionality to learn more about this functionality and its settings in more detail.
Open the Send email panel in Apollo. The ChiliCal icon is the last icon in the row along the bottom of the panel, to the right of the snippet button.
Click the icon, and the ChiliCal Scheduler opens to start the Suggested Times process. ChiliCal reads your recipients from the panel:
- The first address in the To row becomes the primary guest;
- Every other address in the To row is added as a guest, along with the Cc and Bcc rows when you have enabled them with the "Add CC & BCC" checkbox;
- If you opened the panel from a contact record and the recipient rows have not filled in yet, the contact's email address is used instead.
In the Scheduler you can add more guests and update your meeting details, such as meeting type, duration, description, and priority calendar.
Click the "Insert Availability" button, and the slots are inserted into the message body: the meeting length and timezone, a header for each day, a button for each open slot, and a link to your full calendar for a prospect who needs a different time. That is it, ready to be sent.
Once the prospect receives the email, they can select a slot and finish the booking process in one click. If your prospect selects a slot that became busy after it was initially sent, we redirect them to select a new one.
Priority availability
While inserting suggested times, you will notice the "Priority availability" toggle in the bottom right of the Scheduler. When it is toggled on, your guest can book meetings over those you marked as flexible in your Priority Scheduling. The toggle changes the offered slots only when you have Priority Scheduling configured.

Insert Booking Link
If you prefer sending your booking link instead of the suggested times, that is also possible from the Send email panel. Click the "Insert scheduling link" button, and your personal booking link is inserted into the message.
