Who can use this feature?
Data Fields are reusable properties used throughout the Chili Piper's Demand Conversion Platform platform. They allow you to capture visitor data against a data type structure and sync it to mapped CRM fields.
Below, we will cover Data Fields and how to configure them for your org.

Where to set up Data Fields?
Admins can set up Data Fields in the Admin Center's left-side menu or by visiting this link.
Upon setting up your organization, you will notice a few default fields will have already been created for you: First Name (Person), Last Name (Person), Email (Person), State (Person), and Company Name (Company); Object and Type settings are not editable for these fields.
Click the "Create Data Field" button at the top-right to start creating your new Data Fields.
How to set up additional Data Fields?
Within this section, we will cover each Data Field settings to ensure they are correctly set for your org!
Object
Additional fields can be added and grouped by either a Person or Company association. These objects in Chili Piper are a classification for where to associate the data:

Person - Some examples are a person’s phone number, state they reside in, job title, etc.
- Company - Some examples are the company's size, headquarter's country, industry, etc.
For example, to add a new field type called Sales Team Size, we will create a new field and select Company as the object.
Don't forget to publish your changes once you are done!
Type
The field types available are:

Checkbox: Supports checkbox fields.

Long Text - Supports up to 32.000 characters, which is the same as Salesforce's Long Text field validation. HubSpot has no character limit when the data comes through a form and a 65.536 limit when the value is directly added there.

Number - Supports numbers only.

Phone - Validates inputs for having a valid phone number.

Picklist - Uses Associated Values, which can be displayed in a dropdown menu. If a field mapping is used for a Picklist field, the Associated Values used in Chili Piper must match the picklist values you have in your CRM for that field.
Note that, for Salesforce, there's a setting called "Restrict picklist to the values defined in the value set", which allows you to accept values that do not precisely match the existing list. If disabled, then updates can occur independent of the values matching.

Radio Button: Support radio button fields.
- Short Text - Supports up to 255 characters, the same as Salesforce’s Short Text field validation. HubSpot has no character limit when the data comes through a form and a 65.536 limit when the value is directly added there.
For our example, we will create it within the Company object, using the Picklist type and adding the Associated Values to match the picklist options you have in your CRM:

Mapping
This field can be mapped with one or more CRM fields/properties to ensure associated CRM records are always updated whenever this field is used. For our example, we will map to the "Sales Team Size" for both Lead and Contact objects in Salesforce:
If you mapped multiple fields, you can drag them around to tell which Chili Piper should resolve dynamic tags and skip guest forms for prospects.
Note that for every mapping, you have the option to set if the field should be overwritten or not if it is already previously populated:
This setting behaves in the following way:
Overwrite Setting | Value in CRM Field/Property | Result |
Enabled | Null | The field is updated with new value |
Enabled | Not Null | The field is updated with new value |
Disabled | Null | The field is updated with new value |
Disabled | Not Null | The field preserves the existing value |
Language & Settings
You can define how the Field Label and Error Message will look to your prospects in Concierge Router links and Scheduling Links if multiple languages are enabled for your whole org or in specific workspaces (click here to learn how).
Note we have German, Portuguese, and English enabled in the Language Settings, so when setting up a new Data Field, we can define the Field Label and Error Message in both languages:
Using Last Name as one example, here's how it looks on the Data Field's page:
And then, in the form for prospects, here's one example of how it looks like after identifying their language is Portuguese:

How can a Data Field be Archived?
Fields that are no longer needed can be "Archived" from the main table by clicking the three dots right next to it and clicking "Archive". The default fields (First and Last Name, Email, and Company) cannot be archived.
This option is not permanent, as fields can later be unarchived following the same steps.
